To ensure a successful and impactful delegation trip to Moscow, sponsored by the state government and executed by Movsta, with nominated teachers monitoring the students, here are detailed guidelines:

A. Pre-Departure Preparations:

1. Coordination with Government:

  • Execute the government process of scouting students for the delegation

  • Provide report of selected students

  • Collect NOC from the parents

2. Documentation and Compliances:

  • Ensure all selected students and nominated teachers participate in Passport Mela to get passports and help in applying visa in assistance with Movsta

  • Collect medical forms, consent forms from parents (for minors), and any other necessary documentation as required by the state government and Movsta.

  • Ensure institution plans leaves and academics of the students traveling

  • Collect Contact information for all students, parents & any other relevant contacts.

3. Pre-Departure Orientations:

  • Organize comprehensive orientation sessions covering itinerary, travel logistics, cultural norms, behavioral expectations, safety protocols, Vaccination Certification and emergency procedures.

  • Familiarize participants with the objectives of the delegation, including academic and cultural exchange goals

  • Lead briefing sessions on safety and emergency protocols for students.

B. During the Trip:

1. Daily Monitoring and Check-ins:

  • Teachers should conduct daily check-ins with students to discuss the day's activities, address any concerns, and ensure all students are adapting well to the travel experience.

  • Maintain an open line of communication with Movsta’s on-ground team for updates and coordination.

  • Maintain uninterrupted communication with both the students and their parents.

2. Health and Safety:

  • Teachers are responsible for monitoring the health and well-being of students, ensuring they follow health advisories, take prescribed medications, and adhere to dietary restrictions.

  • In case of a medical emergency, teachers should know the nearest medical facilities and the process for getting assistance.

3. Cultural & Academic Engagement:

  • Encourage and facilitate students’ active participation in all scheduled academic and cultural activities.

  • Organize debriefing sessions after visits and activities to reflect on learning outcomes and experiences.

4. Behavioral Management:

  • Monitor and manage student behavior, ensuring adherence to the code of conduct and addressing any disciplinary issues in coordination with Movsta and local authorities if necessary.

  • Don't allow students to engage in unsafe behavior or disregard guidelines.

  • Don't deviate from the planned activities without proper communication.

  • Don't neglect to inform organizers about any specific needs or concerns.

C. Post-Trip Guidelines:

1. Feedback and Reporting:

  • Collect feedback from students on their experiences, learning outcomes, and suggestions for future trips.

  • Prepare a comprehensive report for the institution and the state government, detailing the delegation's activities, achievements, and areas for improvement.

2. Recognition :

  • Encourage students to prepare presentations or projects based on their experiences and learning.
