This comprehensive guideline is designed for the student delegation traveling to Moscow. It aims to ensure a well-organized, safe, and enriching experience for all participants.
A. Selection:
1. Attend Competition:
Appear in competitions proposed by the government, which would be conducted in the institution.
2. After Selection:
Meet necessary criteria, health checkup and other declared documentation procedures to become eligible after getting selected.
B. Pre-Departure Preparations:
1. Packing and Luggage:
Pack according to the provided packing list, considering Moscow’s weather and cultural norms. Students will be provided with a suggested checklist for reference.
Label your luggage with your name, contact information, and accommodation details in Moscow.
Declare medication details prior to the trip to check its legal status in Russia.
2. Orientation and Training:
Attend all pre-departure orientation sessions organized by Movsta or your institution. These sessions will cover safety protocols, cultural norms, emergency exit plans and the trip itinerary.
Complete any required vaccinations and health checks. Carry a copy of your vaccination record.
Inform the delegation leaders of any medical conditions or allergies.
3. Documentation:
Attend the passport mela organized by Government & as guided by the institution to get the approval
Obtain the necessary visa with the assistance of Movsta or the designated authority.
Carry any given checklist of documentations as asked by the other stakeholders such as Institution, Government or Movsta.
Keep Student ID and any required school documents handy.
Parents Permission & other required documents submission.
C. During the Trip:
1. Adherence to Schedule:
Follow the trip itinerary and be punctual for all departures, meetings, and activities.
Don't deviate from the planned activities without approval
2. Behavior and Conduct:
Maintain professionalism and respect cultural differences. Abide by the code of conduct provided, representing your institution and country positively.
Don't engage in risky behavior or disregard cultural sensitivities
3. Communication:
Stay in touch with delegation leaders, teachers & Parents. Use the official trip app or communication channels for updates and instructions.
Keep emergency contact numbers handy, including those of the local embassy.
4. Health and Well-being:
Practice good hygiene and stay hydrated. Report any health concerns immediately to the accompanying teachers or Movsta staff.
Carry health insurance records provided by Movsta team.
Inform teachers or organizers if you feel unwell.
5. Safety and Security:
Stay with the group. In free time, inform delegation leaders of your whereabouts if you explore in smaller groups.
Keep personal belongings secure and be cautious of pickpocketing & other crimes in tourist areas.
Carry photocopies of all documents & digital backup as well.
Don't carry excessive valuables or large sums of money.
D. Post-Trip Engagement:
1. Debriefing and Feedback:
Participate in post-trip debriefing sessions to share your experiences and provide feedback on the trip.
Complete any feedback forms or surveys to help improve future delegations.
2. Academic and Cultural Reflection:
Engage in reflective activities or projects as required by your institution to consolidate your learning experiences from the trip.
Share your experiences with peers through presentations, blog posts, or participation in cultural exchange forums.
E. General Guidelines:
1. Memories:
Keep a journal or digital diary.
Take photos (where permitted) to document your experiences, ensuring you respect privacy and cultural sensitivities.
2. Networking and Relationships:
Use this opportunity to build relationships with fellow students, teachers, and individuals you meet during the trip.
Networking can provide valuable connections for future academic and professional endeavors.
As a participant in a government-sponsored delegation, you are an ambassador for your culture and country.
